Definitions 

In the following terms of business, the term “CTD” shall mean Gemma Chamberlain trading as Chamberlain Training & Development. The candidate(s) shall be those persons defined as candidate on the booking form. These terms and conditions cannot be varied in any way by the client(s) unless such conditions are expressly agreed by CTD in writing. 


Candidate Confidentiality 

CTD will keep confidential and will not disclose to any third parties or make use of information communicated to them in confidence for the purposes of the course, save as may be reasonably necessary to enable CTD to carry out their obligations in relation to the training being delivered. This will usually include sharing personally identifiable information with Highfield Qualifications for the purpose of candidate registration and certification. 


Copyright and Ownership of Materials 

The entire copyright in any training literature used as part of the qualification including online delivery materials is retained by CTD or any respective owners at all times. This includes website content and or material which is owned by or licensed to us. This material includes, but is not limited to, the design, layout, look, appearance and graphics. Reproduction is prohibited other than in accordance with the copyright notice, which forms part of these terms and conditions. 


CTD will reasonably assume that any evidence, material or files submitted by candidates is done so observing the respective ownership and copyrights requirements. In addition, any licensing or required permissions will be reasonably assume to have be obtained by the candidates prior to submission. For the avoidance of doubt, the responsibility to obtain, any respective permissions for any evidence submitted lies firmly with the candidate. 


Storage of files 

Storage of digital files are kept securely using Microsoft 365 in SharePoint or OneDrive. In addition, they may be held securely within e-portfolio software. CTD undertakes to keep all information secure as far as reasonably practicable including using Multi-Factor Authentication and complex password combinations. 


Law 

These Terms and Conditions shall be governed and construed in accordance with the Laws of England.   Email communication constitutes a contract in law, unless the Client specifically states they will not accept this and instead provides hardcopy paperwork of all relevant agreements and contracts. 


Booking 

The candidate will be required to complete an online application form, on receipt of the application form, CTD will contact the candidate to confirm eligibility, including the details in the application and to confirm payment details.  The booking will then be considered confirmed. Once the candidate has made a booking for a specific time and date and this date/time has been confirmed, CTD will reserve that place on the course. 


A non-refundable booking fee of 15% of the course fee is due when the candidate submits the application form.  This fee is deducted (in full) from the total course / qualification price. The booking fee secures the candidates position on the relevant course. The booking fee is non-refundable or transferable in the event of cancellation unless specifically agreed in writing with CTD. 


Payment 

Booking fees are required to be paid within 7 days of the application submission date. Any remaining balance will be due 14 days prior to the course / qualification start date.  In the event that a booking is made less than 14 days before the start date of the course / qualification, the full course fee will be due immediately.

Consultancy Work

Our invoices will be delivered as stated on the quotation.  Unless otherwise agreed, our bills are based on time spent and expenses incurred in that month.  Payment is due in full within 14 days of the invoice date.  If a bill is not paid within 14 days after its issue, we reserve the right to suspend delivery of our services and charge you interest on the outstanding amount.  We have the right to claim a lien over documents, electronic records, moneys and other items held for you until our bills are paid in full. 


Purchase Order Numbers

Where an organisation uses Purchase Order (PO) numbers it remains their responsibility to provide a PO to us.  Please note any delay in obtaining and providing a PO shall not serve to extend the invoice due date.  Invoices will be due 14 days after date of invoice unless expressly agreed in writing by CTD.


Payment schedules for private individuals

For course(s) with fees exceeding £350 we offer a payment schedule option.  The 15% booking fee(s) is still payable as described above, within 7 days upon application submission.  However, the remaining balance can be spread over 4 equal monthly payments whilst undertaking the course.   Item 2 above requiring full payment within 14 days of the course start date is suspended under an agreed payment schedule arrangement.  In the event that the course is completed in less than 4 months, then the full balance will be required prior to quality assurance processes being completed and  certification being applied for.


Cancellations

Once a booking is confirmed, if it is subsequently cancelled with less than 14 days prior of the course / qualification start date, this will result in payment in full for the complete course / qualification booked.  Any payments already made will be none refundable.  Cancellations made with more than 14 days' notice prior to the date of the course / qualification booked, will result in loss of the deposit / booking fee, only unless specifically agreed in writing.  All cancellations must be in writing, email is acceptable. 


  1. Cancelations more than 14 days prior to course start date  -    Only booking fee due 
  2. Cancelations less that 14 days prior to course start date      -    Full course fees due


Prices for all services and/or goods are supplied at the current prices ruling at the time of each individual payment and are subject to change without prior notice. CTD is not VAT registered so VAT is not quoted, nor is it charged. 


In addition to any cancellation fees, the candidate / business will be charged for any expenses already incurred by Chamberlain Training & Development. 


Complaints 

Any complaints should first be raised by the candidate with CTD in writing to info@ctdpro.co.uk as soon as reasonably practicable.  Any delay to reporting complaints may hinder or impede any potential remedies. 


CTD reserves the right to amend these Terms and Conditions without prior notice.
